5. Our lawful basis for using your information
Data protection law requires us to have a lawful basis for using personal information.
Depending on what we are doing with your information, we may rely on:
Contract
Where you become a TWADL member, we may need to use your information to provide your membership and organise the services you have signed up for.
We may also use your information to take steps at your request before you become a member, for example when helping you understand how to join a TWADL team.
Legitimate interests
We may use information where it is necessary for our legitimate interests in running and developing TWADL, provided those interests are not overridden by your rights and interests.
This may include communicating with people who have made an enquiry, organising our teams and activities, maintaining appropriate records and managing the TWADL community.
Where we rely on legitimate interests, we consider whether the use of your information is necessary and proportionate and whether you would reasonably expect us to use it in this way. The ICO advises that legitimate interests can be appropriate where the use is reasonably expected and has a limited impact on people's privacy.
Consent
Where we need your consent, we will ask you clearly and separately for it.
For example, if we want to send you marketing emails and cannot rely on another lawful basis, we will ask you to actively opt in.
You can withdraw your consent at any time.
Legal obligation
We may use your information where this is necessary for us to comply with a legal obligation.
6. Taster sessions and enquiries
If you register your interest in a TWADL taster session, we will use the information you provide to respond to you, organise the session and communicate relevant information about it.
If you decide not to join TWADL after making an enquiry, we will not keep your information indefinitely. We will delete or securely dispose of information when we no longer have a legitimate reason to retain it.
7. TWADL membership and team communications
If you become a TWADL member, we will use your contact information to organise your membership and communicate with you about TWADL.
This may include:
Information about your weekly sessions
Changes to sessions or venues
Team arrangements
Events and socials
Membership administration
Other information necessary for the running of your TWADL team
TWADL teams may use WhatsApp groups for team communication. If you join a TWADL WhatsApp group, other members of that group may be able to see information associated with your WhatsApp account, such as your name, profile picture and telephone number, depending on your WhatsApp settings.
Participation in a team WhatsApp group is part of how TWADL teams communicate, but you should consider your own WhatsApp privacy settings before joining.
8. Marketing emails
We may occasionally send information about TWADL, including upcoming seasons, taster sessions, events or other TWADL activities.
Where required by law, we will obtain your consent before sending marketing emails.
You can unsubscribe from marketing emails at any time.
Please note that an email relating directly to a service you have requested or your existing TWADL membership is not necessarily a marketing message. We may still need to contact you about your membership, sessions or other services you have signed up for.
Under the Privacy and Electronic Communications Regulations (PECR), marketing emails to individuals generally require consent unless a specific exception applies. We will therefore use appropriate opt-in or opt-out mechanisms where required.

We currently use the following services to help us operate TWADL:

Our website and online forms are hosted by Squarespace. Information submitted through TWADL website forms may be processed and stored through Squarespace.
Gmail
We use Gmail to communicate with people who contact TWADL and to manage TWADL correspondence.

We may use Google Sheets to organise information relating to enquiries, taster sessions, teams and membership.
We expect these service providers to process personal information securely and in accordance with applicable data protection requirements.

11. How long we keep your information
We only keep personal information for as long as we have a legitimate reason to do so.
The exact length of time will depend on what the information is being used for.
For example:
Enquiry information will generally be kept only for as long as necessary to deal with the enquiry and any reasonable follow-up.
Taster-session information will generally be kept for as long as necessary to manage the session and any resulting enquiry or membership.
Membership information will be retained for as long as reasonably necessary to administer your membership and meet any legal, accounting or administrative requirements.
Marketing information will be retained while you remain subscribed, or until you withdraw your consent or otherwise ask us to stop using it for marketing.
We will periodically review the information we hold and securely delete or anonymise information that we no longer need.
UK GDPR does not prescribe one fixed retention period for personal information; organisations should determine and justify appropriate retention periods according to their purposes.
12. Keeping your information secure
We take reasonable steps to protect your personal information against loss, misuse, unauthorised access, alteration or disclosure.
We use password-protected accounts and access to TWADL information is limited to people who need it to run the organisation.

You also have the right to complain to the UK's data protection regulator, the Information Commissioner's Office (ICO).
You can find information about making a complaint on the ICO's website:
Information Commissioner's Office (ICO)

We may update this Privacy Policy from time to time to reflect changes to TWADL, the way we use personal information or changes in data protection law.
The latest version will always be published on this website.
